We get it — booking talent for your event is exciting, but it can also be nerve-wracking, especially if they aren’t responding to your messages. You’re likely imagining worst-case scenarios: Will they show up? Did something go wrong?
While most GigSalad members are reliable and communicative, we understand that being left in the dark can cause concern. Here's what to do if you’re experiencing radio silence from your booked provider.

Step-by-step protocol based on event timeline
Our Dispute Team has a protocol for nonresponsive talent based on your event date. First, we ask that you begin sending messages through the GigSalad platform. After the required number of attempts without success, you have the option to issue an ultimatum. The ultimatum should clearly state that if they don’t respond by a specific date, you’ll request a full refund through GigSalad.
👉 Remember: Performers and service providers are busy professionals, and sometimes life happens. Be understanding but firm in your expectations for a timely reply.
Event is 8+ weeks away
- Attempt contact at least 3 times on the GigSalad messaging platform.
- Allow a 24-hour waiting period between each attempt.
- After 3 attempts without success, you have the option to issue an ultimatum.
Event is 4+ weeks away
- Attempt contact at least 2 times on the GigSalad messaging platform.
- Allow a 24-hour waiting period between each attempt.
- After 2 attempts without success, you have the option to issue an ultimatum.
Event is less than a week away
- Attempt contact at least 1 time on the GigSalad messaging platform.
- Wait 24 hours.
- If there is no response after 24 hours, you have the option to issue an ultimatum.
Event is the next day
- If your event is tomorrow and you still haven’t heard from your talent or service provider, you’re facing a tough decision. At this stage, you can begin pursuing new options as a backup while still hoping for a response from the person you originally booked. You must decide between:
- Cancel the booking and request a full refund from the provider.
- Let the booking ride out and hope they show up. Believe it or not, some providers still show up even if they haven't been responsive!

- Pay attention to communication style: If they’re responsive, polite, and clear from the start, that’s a positive sign. If communication feels slow or unclear, it might be a red flag.
- Ask questions: Find out about their experience with events like yours, their preparation process, and how they handle unforeseen issues. Reliable pros will answer confidently and transparently.
- Look for a solid profile: Photos, videos, verified bookings, and clearly listed services are signs of a serious and trustworthy provider.

- Keep your messages professional and clear. Include your event details, any questions or concerns, and a reminder of the agreed-upon booking terms.
- Check all forms of communication. Sometimes, the talent or service provider may respond via email or another platform you’re not regularly checking.
- Consider their schedule. Many GigSalad members have other jobs and work multiple gigs, so they might not respond immediately, especially on weekends.
- Exchange mobile numbers. Share phone numbers with each other after booking to have a direct line of communication for emergencies or questions.
