Creating and managing saved quotes

The quotes you send on GigSalad become an official booking agreement and contain your cancellation policy, additional terms, services to be provided, and your fee. To reduce the time you spend filling out each section of the quote form for every lead, create a few saved quotes that you can use for different services and event types. 

Create a new saved quote

To create new quote templates:

Log in to your control panel, go to Tools, and select Saved Quotes.

Click on Create a new saved quote.

Create a title for your quote. This title will not be visible to clients. It's only used for you to identify which saved quote to choose when replying to a lead.

Enter your fee, deposit, sales tax, services to be provided, and additional terms, then attach any photos, documents, or audio files you want. Use shortcodes to automatically populate client and event details into text fields.

Select your cancellation policy and a default expiration time.

Click Save.

Repeat steps 2-6 for as many saved quotes as you'd like to have.

Note: You can also create a new saved quote right from your message thread with a client! If you have just filled out a quote that you would like to re-use later or save for further editing, you can do so by clicking on the checkbox next to "Save this quote." Add a title to identify the quote later, and it will be saved as soon as you hit Send

Edit a saved quote

To edit your existing quote templates:

Log in to your control panel, go to Tools, and select Saved Quotes.

Open the drop-down menu and select the saved quote you want to edit.

Make any changes to the title or content, or add/change your attachments.

Click Update Quote.

Repeat steps 2-4 for each saved quote you'd like to edit.

Delete a saved quote

To delete any of your existing quote templates:

Log in to your control panel, go to Tools, and select Saved Quotes.

Open the drop-down menu and select the saved quote you want to remove.

Click Delete Quote. Deleting cannot be undone, so a confirmation box will appear.

Repeat for all saved quotes you'd like to delete.

Choose a default quote

You can choose one saved quote to be the default quote that is automatically loaded into the quote form when responding to a lead. Your default saved quote will be identified by a (default) label after the title.

Log in to your control panel, go to Tools, and select Saved Quotes.

Open the drop-down menu and select the quote you want as your default.

Scroll to the bottom of the quote form and check the box beside "Set as my default quote."

Click Update Quote.

The only time your default will not be used when responding to a lead is if you've already sent a quote to that client. In that case, the previous quote will be loaded for you to alter and re-send. However, you can still choose one of your saved quotes from the drop-down if you want to change from your previous quote.

Old quote settings: Before we introduced saved quotes, you could save just one set of quote settings (in the Edit PromoKit section of your control panel). If you had settings like that saved previously, such as a custom cancellation policy or additional terms, those will now appear as a saved quote titled "Old quote settings." This saved quote will be automatically selected as your default, but you can select a different saved quote as your default at any time. You can also edit the "Old quote settings" by going to Manage Saved Quotes and selecting it from the drop-down menu.

Using shortcodes

Shortcodes allow you to personalize your saved quotes without having to type in specific client and event details each time. For example, if you use the [date] shortcode, the date for the event you're responding to will be automatically filled in where you've placed that code.

A full list of shortcodes available to use will be displayed when adding or editing a saved quote. As you fill out your quote template, you can type the bracketed code or you can just click on the appropriate code and it will be added to the text field.

Example of how you might use shortcodes in your "services to be provided":

We'd love to perform at your [event_type]! This quote is for two hours of instrumental music on [date] at [time]. 

I've attached a few songs to this quote to give you an example of what style of music we would be playing. I believe we would be a great fit!  

Once you've created one or more saved quotes, you'll be shown a drop-down list (identified by the titles you added) to choose from when you are ready to send a quote. Select the one you want, make any necessary edits, or add further personalization, then send it!
